About the position

The Administrative Assistant I at Community Health Centers plays a crucial role in providing administrative and clerical support to enhance the efficiency of the center's operations. This position is essential for managing correspondence, scheduling meetings, and maintaining organized records, contributing to the overall improvement of community health services.

Responsibilities

  • Manage, type, copy and distribute correspondence, memos, agendas, and reports.
  • Take minutes at meetings as required.
  • Arrange meetings as directed by Center Leaders.
  • Schedule meeting space at the center and maintain calendar of same.
  • Prepare meeting space to include room and refreshment set up and break down.
  • Set up and maintain filing system.
  • Provide clerical support for the center, including preparing onboarding schedules and certified mail.
  • Open and sort mail for the center, including scanning to patient charts and incoming medical records.
  • Run errands, including purchasing lunches and preparing for special events.
  • Order and maintain adequate supply of office supplies, patient brochures, and complaint and compliment forms.
  • Keep inventory of Reach Out and Read books and send order requests as needed.
  • Enter office and medical supply orders into electronic requisition system.
  • Receive and verify delivery orders.
  • Assist with submission of Information Services requests and Facility Work Orders.
  • Prepare expense reports for credit card charges and travel expenses for Center Leaders.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED required.
  • Minimum of 2 years prior experience in a similar or related field.
  • Proficiency in Microsoft Office Applications: Word, Excel, and Outlook.
  • Good written and verbal communication skills.
  • Ability to meet deadlines and prioritize tasks.
  • Strong organizational skills.
  • Computer (word processing) skills are required.

Nice-to-haves

  • Advanced education in executive assistant or secretarial program is preferred.
  • Any other advanced studies in a related field.
