About the position

The Administrative Assistant II position at the Florida Department of Transportation involves supervising office support staff within the Design Department. The role includes planning, assigning, and reviewing clerical work, as well as assisting the District Design Engineer with various administrative functions. Responsibilities

  • Supervise office support staff in the Design Department.
  • Plan, assign, and review work of clerical staff in purchasing, records management, and other office functions.
  • Assist the District Design Engineer with daily administrative activities.
  • Maintain correspondence and subject matter files for the District Design Engineer.
  • Process and prepare various types of correspondence and reports.
  • Schedule and manage meetings for the District Design Engineer.
  • Prepare budget spreadsheets and track expenditures for the department.
  • Interpret policies and procedures related to fiscal and personnel functions.
  • Edit and post the District Three Design Newsletter to the website.
  • Assist with emergency management issues as needed.

Requirements

  • Knowledge of Employee Performance System process.
  • Proficiency in Microsoft Office or similar software.
  • Understanding of state purchasing and procurement procedures.
  • Skilled in planning, organizing, and coordinating work assignments.
  • Ability to follow oral and written instructions.
  • Basic mathematical calculation skills.
  • Knowledge of current personnel practices and procedures.
  • Ability to prepare and proofread correspondence effectively.
  • Strong communication skills, both written and verbal.
  • Ability to establish and maintain effective working relationships.
  • Supervisory skills.

Nice-to-haves
