About the position

The Administrative Assistant II position at the Department of Juvenile Justice involves providing high-level administrative support to the Circuit and regional office staff. The role requires strong organizational skills, attention to detail, and the ability to adapt to changing workflow demands. Responsibilities include managing correspondence, processing invoices, maintaining files, and coordinating procurement activities.

Responsibilities

  • Provide administrative support to the Circuit and regional office staff.
  • Prepare, compose, and track all correspondence.
  • Research and assemble data for Circuit staff inquiries.
  • Process invoices, requisitions, and purchasing card charges.
  • Organize and maintain hard copy and electronic files of project activities and personnel records.
  • Handle routine administrative tasks such as mail routing and office supply maintenance.
  • Maintain calendars and arrange meetings or travel for staff.
  • Coordinate procurement of commodities and services in Ariba On Demand (AOD).
  • Review purchases for compliance with Florida Statutes and DJJ rules.
  • Ensure proper documentation for submitted invoices and assist with travel expenditures.

Requirements

  • High School Diploma or equivalent.
  • Knowledge of reading comprehension and research methods.
  • Familiarity with administrative and clerical procedures and systems.
  • Experience with MyFloridaMarketPlace (MFMP) and State Accounting Management system (SAMAS).
  • Understanding of Human Resource rules and regulations.
  • Proficiency in computer software applications.
  • Effective verbal and written communication skills.
  • Ability to handle confidential information.

Nice-to-haves

  • At least 2 years of Administrative, Secretarial, or Clerical experience.
  • Experience with Ariba On Demand (AOD) for procurement.
  • Familiarity with the State Purchasing Card system and processing invoices.
  • Experience with the People First System for HR functions.
  • A valid driver's license.
