About the position

The Administrative Assistant II for the Business Incubator at Francis Tuttle Technology Center provides essential administrative and clerical support to the AXIS department. This role focuses on delivering effective, efficient, and customer-oriented services to clients, residents, and strategic partners, while upholding the core values of the organization. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Assist the AXIS Director and clients with equipment, communications, and administrative duties.
  • Provide general administrative support such as answering phones and responding to inquiries.
  • Record and maintain accurate financial transactions, including invoicing.
  • Update and maintain files, databases, and confidential records.
  • Assist with purchasing and order processing.
  • Plan, schedule, and organize Incubator-sponsored events and meetings.
  • Report and transmit training hours and rosters accurately.
  • Communicate effectively regarding AXIS FT and Francis Tuttle operations.
  • Collaborate with colleagues in other departments to achieve organizational goals.
  • Support the Danforth Campus receptionist and co-workers as needed.

Requirements

  • High school diploma or equivalent required.
  • At least two years of related work experience required.
  • Proficient in Microsoft Word, Excel, and Windows.
  • Excellent keyboarding, proofreading, and data entry skills.
  • Exceptional verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage a heavy workload and meet deadlines.

Nice-to-haves

  • Experience with Adobe Creative Suite preferred.
