About the position

The Administrative Assistant II position at the Community College of Aurora serves as the primary point of contact for students at the Financial Aid front desk. This role involves managing communications, scheduling, and providing essential information regarding financial aid policies and procedures. The assistant will also oversee student employees, ensuring they are trained to assist students effectively.

Responsibilities

  • Serve as the main point of contact at the CentreTech Campus for students at the front counter.
  • Create and manage the schedule for the Financial Aid front desk.
  • Answer incoming Financial Aid Office emails and return voicemails.
  • Provide general and specific financial aid information to current and prospective students and their families.
  • Clarify financial aid policies and procedures via staff-specific communication channels.
  • Maintain and order supplies using the college's procurement card.
  • Assist with special projects and perform other duties as assigned.
  • Follow file maintenance procedures for financial aid staff and recommend changes as necessary.
  • Monitor adherence to the financial aid system and maintain imaging of student records.
  • Coordinate the imaging of documents to ensure timeliness and accuracy.
  • Interview, hire, and supervise student employee staff for the Financial Aid Office.
  • Train student employee staff in understanding financial aid regulations and policies.

Requirements

  • Twenty-four months of clerical experience in an office setting with a focus on student interaction.
  • Strong interpersonal, communication, and organizational skills.
  • Computer literacy and effective verbal and written communication skills.

  • Experience with a wide range of clerical responsibilities.
  • High level of speed and accuracy regarding data entry.
  • Attention to detail in checking for typographical, grammatical, and spelling errors.
  • Experience in a fast-paced customer service environment.

  • Experience with problem-solving processes.
  • Prior work experience at a community college or academic environment.
