About the position

The Administrative Assistant II will manage clinical, administrative, and academic activities for physicians in the Division of Hematology/Medical Oncology. This role involves coordinating meetings, managing calendars, answering phones, and overseeing patient appointments, while also serving as a liaison for purchasing and operational needs within the Tisch Cancer Institute, a key part of the Mount Sinai Health System.

Responsibilities

  • Schedule MD office visits, treatment visits, and procedures for patients in various computer systems including Cerner, EPIC, and Eagle.
  • Obtain authorizations and referrals for physician office visits, outpatient procedures, inpatient admissions, and diagnostic tests prior to services rendered.
  • Gather patient records from referring physicians and outside facilities.
  • Assist in completing clinical information for disability and insurance forms.
  • Make travel arrangements for physicians, including air, train, and hotel reservations.
  • Prepare travel reimbursements and expense reports.
  • Check materials submitted for supervisor's attention to ensure all relevant data is included.
  • Serve as a liaison with other departments or external parties to accomplish objectives.
  • Provide administrative support to one or more physicians related to day-to-day operations.
  • Maintain the physician's calendar, coordinate meetings, and confirm attendees.
  • Assist with preparation of grant applications and update the PI's biographical sketch.
  • Prepare manuscripts and presentations, including tables, text, and slides.
  • Research and compile information for reports and prepare statistical reports.
  • Monitor budgets and grant allocations, maintaining accruals.
  • Assist in planning and logistical arrangements for forums, conferences, and seminars.
  • Transcribe and distribute meeting minutes.
  • Investigate and resolve administrative or operational problems affecting the work unit.
  • Screen and prioritize incoming mail and respond or distribute as necessary.
  • Screen telephone calls and direct inquiries appropriately.

Requirements

  • Associates degree or equivalent combination of experience (Bachelor's preferred).
  • 4+ years related experience, preferably in an academic or medical center setting.
  • Knowledge of office and administrative practices.
  • Solid experience in using Microsoft Office programs and software including Epic, Cerner, and IDX.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with grant writing and budget management.
