About the position

The Administrative Assistant II/Registrar at the New Mexico School for the Deaf plays a crucial role in supporting the school's mission by performing a variety of clerical and administrative tasks. This position requires effective communication with staff, students, and parents, while maintaining confidentiality and professionalism. The role also includes responsibilities related to student records and compliance with state and federal reporting requirements.

Responsibilities

  • Perform clerical and administrative support activities including typing, filing, and operating office equipment.
  • Prepare and enter documents onto electronic and manual records using computer hardware and software.
  • Produce reports, compile data, and prepare summary data.
  • Record, compile, and report financial information.
  • Provide general and specific information, directions, and referrals.
  • Develop schedules and set appointments.
  • Open and route mail, and perform various record and bookkeeping assignments.
  • Screen incoming calls and correspondence, responding independently when possible.
  • Prepare memorandums and direct preparation of records for departmental meetings.
  • Act as custodian of departmental documents and records.
  • Prepare confidential correspondence, reports, and other complex documents.
  • Custodian of student records and provide requested records to state agencies and school districts.
  • Responsible for state and federal-mandated reporting and act as liaison for State Records and Archives.

Requirements

  • High School graduate or equivalent with at least four (4) years of progressive and directly related secretarial experience required.
  • Associates Degree in Business or Office administration, or other related field preferred.
  • Comprehensive knowledge of spelling, punctuation, and grammar required.
  • Ability to communicate effectively both orally and in writing.
  • Ability to operate office equipment, including typewriters, copiers, and calculators.
  • Knowledge of computer entry operations and use of word processing and other software appropriate to the specific assignment.
  • Ability to coordinate office activities and manage multiple tasks and operations simultaneously.
  • Skill in prioritizing work, meeting deadlines, and making sound decisions.
  • Fluent in American Sign Language and written English; fluency in Spanish is desirable.
