About the position

The Administrative Assistant II at the University of Massachusetts Dartmouth is responsible for overseeing the on-campus student employment program, ensuring compliance with university, state, and federal employment policies. This role involves managing student employment activities, providing training, and maintaining relationships with various stakeholders to support student success and retention.

Responsibilities

  • Supervise all aspects of the on-campus student employment program.
  • Assist with the management of on-campus Federal Work Study and non-work study student employment programs.
  • Attend and participate in on-campus workshops and job fairs to educate students.
  • Assist with Federal Work Study fund reconciliation and reporting on annual Federal FISAP report.
  • Manage student employment and financial aid reference materials on UMass Dartmouth website.
  • Assist with the management of the tax compliance process utilizing university software such as Sprintax for international students.
  • Chairperson of the Student Employment Advisory Group.
  • Maintain a working relationship with other university offices and off-campus agencies relating to student financial aid and employment.
  • Create, share, and monitor the Graduate Student Health Insurance Subsidy excel tracking form.
  • Provide in-person Corsair Jobs training workshops for supervisors and educate office staff in student employment basics.
  • Attend and participate in meetings, workshops, and conferences related to student employment administration.
  • Provide customer service information regarding financial aid to students and families.
  • Perform other operational, informational, and project activities as required.

Requirements

  • Three years of full-time or equivalent part-time experience in office management, office administration, business administration, or business management.
  • Ability to follow written and oral instructions.
  • Ability to gather information through questioning individuals and examining records and documents.
  • Ability to write concisely and express thoughts clearly.
  • Ability to maintain accurate records and prepare general reports.
  • Ability to communicate effectively in oral expression and give instructions clearly.
  • Ability to establish rapport and maintain harmonious working relationships with diverse individuals.
  • Ability to supervise and motivate subordinates effectively.

Nice-to-haves

  • Knowledge of International tax preparing systems and international tax treaties.
  • Experience with student employment programs and financial aid administration.
