About the position

The Administrative Assistant II position is a temporary to hire role within a well-established nonprofit organization. The role involves providing comprehensive administrative support, managing operational tasks, and ensuring effective communication between various departments. The position will initially be based in Bronx, NY, and will transition to Rye, NY in the following year, offering a competitive hourly wage.

Responsibilities

  • Oversee time and attendance records for Facilities staff, tracking personal, vacation, and sick leave.
  • Develop and maintain spreadsheets for tracking and analysis.
  • Manage the daily operations of the electronic card access system.
  • Act as an administrative contact and liaison with internal departments, external partners, and other offices.
  • Provide direct administrative support to assigned managerial staff, including preparing operational reports.
  • Make informed decisions based on established policies and guidelines.
  • Draft and edit essential documents, including memos, reports, and other communications.
  • Keep organizational databases updated and generate analytical reports as needed.
  • Coordinate schedules for projects, special events, and programs, ensuring collaboration with various stakeholders.
  • Address routine inquiries that require familiarity with organizational processes.
  • Handle general office tasks, such as typing, filing, scanning, data entry, and phone management.
  • Work independently or as part of a team, based on assignment requirements.
  • Set up and organize electronic and physical filing systems for records and correspondence.
  • Maintain service and maintenance records to meet quality control and regulatory standards.
  • Process requisitions and check requests, review and track invoices, and prepare them for Finance/Accounting.
  • Follow up on purchase orders, requisitions, and payments.
  • Order and manage office and building supplies.
  • Arrange meetings and manage calendars for relevant staff members as needed.
  • Perform other related duties as assigned.

Requirements

  • High school diploma or equivalent required; Associate degree in Business Administration preferred.
  • 2-3 years in administrative support or office management within a complex organization.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel.
