About the position

The Administrative Assistant II provides high-level, confidential administrative support to company Executives, the Board of Directors, and the Supervisory Committee. This role involves a variety of tasks including preparing reports, managing correspondence, organizing meetings, and maintaining corporate records, all while ensuring a professional and efficient office environment.

Responsibilities

  • Prepare and compile reports, memos, agendas, presentations, and correspondence.
  • Research and compile information and data from industry surveys, credit union law, and other data points.
  • Answer and return phone calls and relay messages.
  • Evaluate and route incoming correspondence.
  • Organize documents and maintain files and records.
  • Coordinate and schedule meetings, conferences, planning sessions, and special events.
  • Manage executive requests.
  • Plan and coordinate travel and accommodation arrangements.
  • Assist with monthly board meetings by preparing the room, preparing agendas, and assembling and distributing board packets.
  • Attend monthly board and supervisory committee meetings to take minutes.
  • Coordinate the annual board of directors and supervisory committee election process.
  • Maintain working knowledge of corporate policies and bylaws and update as required.
  • May oversee office functions and assist with supervision of clerical staff.
  • Provide support to the other administrative departments.
  • Other duties as required.

Requirements

  • Proficient with Microsoft Excel as well as other Microsoft Office suite and related software.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, diplomacy, and professionalism.
  • Excellent organizational skills, time management, and attention to detail.
  • Must demonstrate critical thinking skills including problem solving, analytical thinking, logic, and reasoning.
  • Must be flexible and self-motivated.
  • Must work well under pressure and have the ability to meet multiple and competing deadlines.
  • Credit Union or Financial Services experience preferred.
  • A high school diploma or equivalent is required.
  • A minimum of three years of previous administrative experience is required.
