About the position

Towson University is seeking an Administrative Assistant II to provide high-level administrative support for the Offices of Undergraduate Research and Creative Inquiry and Competitive Fellowships and Awards. This role involves managing program operations, coordinating with various university departments, and assisting in the administration of academic initiatives and events.

Responsibilities

  • Support the Director of Undergraduate Research and Creative Inquiry (URCI) with administrative processes involved in URCI programs.
  • Communicate with various university offices for program administration.
  • Perform administrative and clerical duties as assigned by the Directors.
  • Support the Director of Competitive Fellowships and Awards (CFA) with administrative processes involved in CFA initiatives.
  • Collect and compile applicant information through online forms in coordination with the Directors.
  • Review applications for completeness and manage communication about the application process with applicants and faculty mentors.
  • Reserve venues for URCI and CFA events and coordinate event logistics.
  • Maintain good standing as a Procurement Card holder and complete necessary paperwork.
  • Facilitate all URCI and CFA purchasing and act as Cost Center Manager.
  • Assist in onboarding student workers by completing necessary paperwork.
  • Manage access to and upkeep of URCI and CFA space at the Undergraduate Research Center.
  • Monitor application processes and compile applications for decision-making committees.
  • Maintain and update mailing lists for faculty and students.
  • Respond to inquiries via email, telephone, and in-person, referring questions as necessary.
  • Edit, format, and proofread documents and materials created by others.
  • Create documents to advertise programs and events, and distribute information on campus.

Requirements

  • High school diploma or equivalent.
  • Three years of experience providing administrative support.
  • Skill in various computer software packages, including word processing, spreadsheets, and presentation programs.
  • Excellent communication skills and ability to work independently.
  • Ability to manage scheduling of large university-level events.
  • Ability to interact courteously and efficiently with students, staff, and faculty.

Nice-to-haves

  • Prior experience in a college or university setting.
  • Experience using PeopleSoft/Stratus or equivalent software.
  • Bachelor's degree.
