About the position

The Administrative Assistant II position at North Orange County Community College District is responsible for performing a wide variety of complex and specialized administrative duties to support various functional areas, departments, or administrators. This role involves coordinating office functions to ensure efficient operations, managing daily activities, and providing information to students, faculty, and the public. The position requires specialized knowledge in areas such as financial aid, student services, and instructional support, and is grant funded, contingent upon the availability of funds.

Responsibilities

  • Perform complex administrative duties independently in support of one or more functional areas, departments, or administrators.
  • Organize and manage daily activities to assure efficient operations.
  • Provide information to departments, personnel, students, and the public on the phone and in person.
  • Plan, coordinate, and assist in the preparation and maintenance of class and faculty schedules, room assignments, and textbook orders.
  • Assist instructors with preparation of curriculum, forms, applications, and testing materials.
  • Ensure classrooms and instructional areas are maintained and assist students with registration.
  • Coordinate and facilitate special projects, such as receptions and events.
  • Maintain calendar of activities and coordinate travel arrangements.
  • Approve, prepare, and distribute promotional and informational materials; maintain current mailing lists.
  • Monitor department expenditures and budgets; assist with budget development and track status of budgets.
  • Evaluate and process forms, transcripts, and applications; verify data for accuracy and compliance.
  • Type and compose correspondence, memos, letters, agendas, and reports; prepare statistical information for reports.
  • Schedule appointments and meetings; attend meetings and transcribe and distribute minutes.
  • Order supplies and prepare purchase requisitions; track orders to assure delivery and payment.
  • Train and provide work direction and guidance to others as directed.

Requirements

  • High school diploma or GED.
  • Minimum two (2) years of administrative experience, which may be supplemented by applicable college courses.
  • Knowledge of District organization, operations, policies, and objectives.
  • Knowledge of applicable sections of State Education Code and other applicable laws.
  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to interpret, apply, and explain rules, regulations, policies, and procedures.
  • Ability to communicate effectively, both orally and in writing.

Nice-to-haves

  • Demonstrated knowledge and understanding of the barriers faced by immigrant and first-generation students.
  • Prior experience in approaching work and interactions with colleagues and/or students in an equity-minded manner.

Benefits

  • Salary range of $5,397 - $6,503 per month.
