About the position

The Administrative Assistant III at Meals on Wheels Orange County plays a crucial role in providing advanced administrative support to the Enhanced Care Department. This position requires a proactive individual who can manage multiple tasks, maintain organization, and communicate effectively with various levels of management and staff. The role is essential in ensuring the smooth operation of the department, contributing to the mission of combating hunger and loneliness among older adults.

Responsibilities

  • Provides high level, advanced administrative support to the department and VP of Home and Care Services.
  • Reviews incoming documents and phone calls to determine their significance and required follow-up.
  • Maintains an accurate 'To Do' list with an effective recording keeping system and disciplined follow-up skills.
  • Prepares, collects, reviews and prepares reports, charts and presentations materials.
  • Coordinates departmental meetings and maintains meeting minutes.
  • Makes use of relevant automated office management systems, including Electronic Medical Records for effective program functioning.
  • Processes Enhanced Care Management and Care Coordination programs patient eligibility and others as directed by Management.
  • Oversees inventory and ordering of office and medical supplies.
  • Operates and maintains various office equipment, including copier, fax machine, and postage meter.
  • Supports the Director and VP of the Department on special projects and overflow work.
  • Prioritizes and manages incoming and pending administrative functions of the office during work peaks.
  • Ensures timely, complete, and accurate updates are given.

Requirements

  • High School Diploma and 3-5 years' experience as an Administrative Assistant or Executive Assistant.
  • Preference for experience in a Health Care environment.
  • Working knowledge of computerized health systems, insurance payors, and processing or other related office functions.
  • Advanced computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio, and Outlook).
  • Ability to type 50-60 WPM.
  • Ability to work in a fast-paced environment with changing priorities and to multi-task effectively.
  • Excellent verbal communication and time management skills.

Nice-to-haves

  • Experience in a Health Care environment is preferred.
