About the position

The Administrative Assistant provides executive-level administrative support to the Vice President of Research and Technology at Pitt Community College. This role involves managing schedules, coordinating meetings, and facilitating communication with various stakeholders. The position requires exceptional organizational and communication skills, proficiency in office software, and the ability to handle multiple projects effectively. The Administrative Assistant also plays a key role in supporting institutional accreditation and compliance efforts, ensuring smooth office operations, and maintaining confidentiality in all communications.

Responsibilities

  • Manage calendars and meeting schedules for the Vice President of Research and Technology.
  • Draft correspondence and memoranda on behalf of the Vice President and others as requested.
  • Coordinate travel arrangements for the Vice President and other selected staff.
  • Record meeting notes and minutes, and prepare agendas and related documents.
  • Maintain digital and analog filing systems and ensure data management.
  • Process purchase orders and maintain inventory of office supplies.
  • Serve as a liaison for the Information Technology and Planning and Research departments with all college levels.
  • Assist with support to the Pitt Community College Board of Trustees, including scheduling and communications.
  • Handle all telephone communications and scheduling for the Vice President.
  • Participate in professional development opportunities.

Requirements

  • Associate degree required, preferably in administrative office technology.
  • 3-5 years of administrative experience.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word), Adobe Acrobat, WebEx, Zoom, and Google Drive.
  • Experience with databases for special projects and report submissions.
  • Strong organizational skills and ability to manage multiple priorities.
