About the position

The Administrative Assistant III position provides comprehensive support to the department chair and faculty within the Industrial and Systems Engineering department. This role involves managing schedules, coordinating meetings, facilitating communication with advisory boards and alumni, and overseeing various departmental processes such as faculty evaluations and event planning. The incumbent will also assist in maintaining confidentiality and ensuring smooth operations within the department.

Responsibilities

  • Support the department chair in daily activities including scheduling meetings and managing the online calendar.
  • Coordinate internal meeting announcements and department event communications.
  • Serve as a liaison for the chair with student organizations and assist with event approvals and funding requests.
  • Prepare and distribute agendas for faculty meetings and take minutes during these meetings.
  • Coordinate the annual faculty performance review process, including collecting reports and maintaining evaluation files.
  • Assist with reception duties and preparation of nominations for faculty and student awards.
  • Support faculty/staff search committees by gathering applicant materials and scheduling interviews.
  • Manage faculty sabbatical and professional development leave processes.
  • Organize and verify faculty dossiers for tenure and promotion reviews.
  • Maintain the department event calendar and assist in planning department events and workshops.
  • Assist in planning advisory board meetings and coordinate logistics for these events.

Requirements

  • High school diploma or equivalent and seven years of relevant experience or an equivalent combination of education and experience.
  • Experience managing calendars and day-to-day office functions for academic leaders.
  • Knowledge of academic processes related to faculty evaluations and tenure and promotion.
  • Ability to plan, organize, and coordinate work assignments effectively.
  • Excellent computer skills and proficiency in operating general office equipment.
  • Strong interpersonal and communication skills, both verbal and written.
  • Ability to maintain confidentiality of sensitive information and establish cohesive working relationships.

Nice-to-haves

  • Familiarity with academic leadership roles and their functions.
  • Experience with faculty annual reports and evaluations.
  • Ability to understand and apply relevant rules and regulations.
