About the position

The Administrative Assistant III at Lexington Medical Center plays a crucial role in providing secretarial, clerical, and receptionist support for the department. This position involves managing complex data, scheduling, and tracking information, while ensuring efficient office operations and maintaining a professional environment.

Responsibilities

  • Perform a variety of secretarial, clerical, and receptionist duties for the department.
  • Assist with managing or entering complex data, including scheduling and reporting.
  • Handle correspondence, filing, ordering supplies, data entry, faxing, and mailing reports.
  • Coordinate and perform operational support activities for the unit.
  • Serve as a liaison with other departments to resolve administrative concerns.
  • Maintain office equipment and order supplies, ensuring repairs are made promptly.
  • Organize, file, and stock office materials for easy access.
  • Provide administrative support such as answering telephones and assisting visitors.
  • Maintain accurate and timely correspondence and updates for department functions.
  • Develop spreadsheets, contracts, reports, and forms to improve workflow.
  • Process and maintain confidential files, including financial and patient records.
  • Schedule and coordinate meetings, events, and appointments.
  • Support staff meetings by scheduling, recording, or distributing minutes.

Requirements

  • High School Diploma or Equivalent.
  • 3 years of experience as an Administrative Assistant/Receptionist.
  • Typing speed of 60 kspm.
  • Demonstrated experience using Microsoft Office Suite (Word, Excel, Outlook).
  • Experience using a multiline phone system and serving as an administrative liaison.

Nice-to-haves

  • Associate's Degree or Bachelor's Degree in a related field.
  • Experience in a healthcare setting.
