About the position

As an Administrative Assistant III at Bay Systems Consulting Inc., you will provide a comprehensive array of administrative services to support the Earth and Environmental Sciences Area at Lawrence Berkeley National Laboratory. This role requires considerable judgment and initiative, ensuring compliance with policies and regulations while assisting over 500 staff, students, and affiliates. You will be responsible for various administrative functions, including travel arrangements, procurement, event planning, and front office support, while also serving as a resource for other team members.

Responsibilities

  • Provide comprehensive administrative services to support the Earth and Environmental Sciences Area.
  • Ensure timely travel arrangements and reimbursements for staff, affiliates, and guests.
  • Assist with procurement requisitions and track order status for scientific instrumentation and office supplies.
  • Plan and coordinate LBNL-hosted meetings and events, including logistics and budget tracking.
  • Serve as the first point of contact for external and internal customers of EESA.
  • Maintain filing systems and office supplies, and manage general office activities.
  • Provide guidance and training to ensure compliance with administrative processes.
  • Work on special projects for senior management as assigned.
  • Represent the Division on various councils and committees as assigned.

Requirements

  • Minimum of 2-4 years of relevant administrative assistant experience.
  • Strong computer skills, including intermediate to advanced proficiency in Microsoft Office.
  • Experience with administrative and financial transactions and documentation.
  • Ability to work independently and as part of a diverse team.
  • Excellent interpersonal and customer service skills.
  • Strong written and verbal communication skills, with advanced proofreading and editing abilities.
  • Demonstrated problem-solving and decision-making skills.

Nice-to-haves

  • Experience in or familiarity with DOE, Lab, or University of California policies and procedures.
  • Knowledge of relevant LBNL policies and procedures.
  • Experience working in a strong safety culture.
  • Familiarity with LBNL systems such as Asset Management System, ePRO, eBUY, TREX, or PeopleSoft.
