About the position

The Administrative Assistant at Solvista Health provides essential administrative and secretarial support within a healthcare environment. This role involves working collaboratively with a multi-disciplinary team to address inquiries, troubleshoot issues, and deliver professional customer service both in-person and over the phone. The position requires effective organization and prioritization of tasks to ensure smooth day-to-day operations.

Responsibilities

  • Organizes and prioritizes large volumes of information and calls, taking messages and answering routine and non-routine questions.
  • Maintains and updates the filing system for clients and Solvista Health.
  • Retrieves information from files as needed and handles confidential information.
  • Sorts and distributes mail and drafts written responses or replies by phone or email when necessary.
  • Responds to regularly occurring requests for information and works independently and within a team on special projects.
  • Accurately receives incoming emergency and non-emergency calls and utilizes the Electronic Health Record system for scheduling appointments.
  • Serves as an information resource to the general public and participates in job-related training sessions and seminars.
  • Attends required staff meetings and maintains prompt and regular attendance.
  • Performs other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • At least one year of administrative experience is required.
  • Strong work experience in customer service industry, preferably 2+ years.
  • Experience with Electronic Health Records is preferred.
  • Ability to operate telephone, computer, and other specialized communication equipment.
  • Ability to communicate clearly and effectively verbally and in writing.
  • Excellent organizational skills and ability to prioritize decisions based on multiple criteria.

Nice-to-haves

  • Experience in a healthcare environment is a plus.
  • Familiarity with Windows operating system and related programs.
