About the position

Mount Mary University is seeking a part-time Administrative Assistant for the Interior Architecture & Design Program. This role involves providing administrative and technical support, maintaining communication flow, and managing various office functions to support faculty and students. The position requires independent work on multiple projects while contributing to the university's mission.

Responsibilities

  • Maintain a welcoming and supportive office environment for faculty and students.
  • Coordinate and facilitate communications among the program, the University, and the interior design community.
  • Use Microsoft Excel to manage, track, and organize data.
  • Utilize Microsoft Outlook for scheduling and calendar management.
  • Manage program files using Microsoft Teams.
  • Generate letters, reports, labels, and online forms using Microsoft 365 and other software.
  • Compile reports and complete queries and data entry using Jenzabar software.
  • Facilitate technology use to improve workflow and data management in collaboration with IT.
  • Organize and maintain records and files, including confidential files for the program and accreditation.
  • Support the Chair in writing student communications regarding events and advising.
  • Act as content manager for the Program's webpage in coordination with the Marketing Department.
  • Liaise with IT, Public Safety, and Buildings and Grounds departments regarding online work orders.
  • Collect and deliver campus mail and facilitate bulk mailings.
  • Manage and track the program's budget expenditures and prepare check requests.
  • Support Chair and faculty during special events, including managing invitations and catering.
  • Monitor and purchase supplies as needed.

Requirements

  • Bachelor's degree or equivalent preferred.
  • Minimum of 3 years of administrative experience in an administrative support role.
  • Experience using Microsoft Excel, including data organization, filtering, sorting, and creating visual representations.
  • Proficiency in Microsoft 365, including Outlook, Teams, and Word.
  • Ability to learn new software as needed.
  • Proficiency in Jenzabar preferred.
  • Strong customer service orientation and desire to assist faculty and students.
  • Outstanding written and verbal communication skills.
  • Attention to detail and ability to maintain confidentiality.
  • Ability to work independently and prioritize tasks under competing deadlines.
