About the position

At Arizona Western College, we are seeking an Administrative Assistant IV to provide top-tier support to the Entrepreneurial College's Chief of Staff. This role is crucial in overseeing and directing the administrative support of the department, providing the second highest level of administrative and clerical support. The Administrative Assistant IV will be responsible for managing significant projects and supporting impactful programs such as the Wellton Manufacturing Training Center and the Prison Program. The ideal candidate will be highly organized and excited for new challenges, contributing to the overall success of the AWC team. In this position, you will directly support the Chief of Staff of the Entrepreneurial College and assist division staff at the Wellton Manufacturing Training Center & Prison Program under the purview of the Reskilling & Training Center. Your responsibilities will include serving students, overseeing the division, supervising the work of others, and acting as a liaison to all areas of the college. You will exercise judgment and discretion in all confidential matters of significance, which may include duties related to confidential student conduct concerns. You will manage the supervisor's calendar, schedule appointments, create travel arrangements, and support the implementation of projects. Additionally, you will assist in purchasing supplies, managing budget reports, and maintaining documentation for grant projects. Your role will also involve coordinating events, overseeing the front desk, and leading committees to ensure the highest level of performance and professional growth opportunities for the team. This position requires excellent communication skills, attention to detail, and the ability to work independently while supporting a diverse population.

Responsibilities

  • Oversee and direct the administrative support of the department.
  • Supervise the work of others including hiring, training, performance evaluations, and professional growth.
  • Act as a liaison to all areas of the college, exercising judgment and discretion in confidential matters.
  • Schedule all appointments and manage calendars for the supervisor.
  • Create travel arrangements for the supervisor and division staff.
  • Assist in ordering supplies and managing budget reports.
  • Write and submit grant applications and maintain documentation for grant projects.
  • Coordinate events and create facility requests.
  • Oversee the front desk, answering phones and responding to inquiries.
  • Lead committees and mentor new administrative assistant employees.
  • Take notes at meetings and draft/edit division job descriptions.

Requirements

  • Associate's Degree with four (4) years of clerical experience OR High School Diploma and six (6) years of experience.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Extremely proficient with Microsoft Office Suite.
  • Ability to work independently and reliably.
  • Ability to exercise discretion and independent judgment with executive matters.

Nice-to-haves

  • Additional experience in office management or administrative roles.
  • Additional education beyond the required qualifications.
  • Office Management Certification.
