About the position

The Administrative Assistant IV role at Lumen involves providing advanced administrative support to senior executives within the Finance organization. This position requires a proactive approach to managing complex schedules, handling confidential information, and coordinating activities across various departments. The role is designed for individuals who can operate with minimal supervision and possess a strong understanding of business priorities and practices.

Responsibilities

  • Proactively and strategically manage complex calendars for senior executives.
  • Assemble and analyze information to prepare reports, manuals, agendas, and correspondences.
  • Coordinate activities across departments and business units.
  • Utilize critical thinking skills to prioritize advanced-level executive administrative work.
  • Handle multiple simultaneous high-priority issues accurately and professionally.
  • Drive priorities and critical items through task lists and manage deliverables.
  • Conduct ad-hoc administrative tasks such as processing expense reports and meal arrangements.

Requirements

  • Bachelor's degree or equivalent experience.
  • 5+ years of recent experience supporting a senior executive or equivalent experience.
  • Proven ability to succeed in a fast-paced environment with a strong sense of urgency.
  • Effective organizational skills with a focus on confidentiality and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to anticipate and proactively resolve potential issues with sound judgment.
  • Demonstrates a positive attitude and resourcefulness in high-pressure situations.
  • Experience working for a global company and coordinating across time zones.
  • Proficient in Microsoft Office products (Outlook, Word, Excel, PowerPoint).
  • Experience with electronic and web-based systems (such as SAP and Concur).

  • Experience with collaborative meeting forums.
  • Flexibility to work outside of routine hours.
  • Availability for occasional travel to offsite meetings.
