About the position

The Administrative Assistant for Legal and Risk Management plays a crucial role in supporting the Vice President and the Legal & Risk Management team. This position serves as the central point of contact for various stakeholders, ensuring efficient communication and organization of legal priorities. The role involves managing administrative tasks, maintaining confidential information, and facilitating collaboration within the department and with external partners.

Responsibilities

  • Process vendor invoices and manage supply inventory.
  • Support the organization and maintenance of corporate, legal, and operational files and databases.
  • Prepare and edit confidential information accurately.
  • Utilize software platforms for posting, organization, and storage of records.
  • Perform administrative duties such as copying, binding, scanning, and preparing meeting materials.
  • Coordinate large meetings and provide general support to the Legal & Risk Management Department.
  • Prepare, reconcile, and submit expense reports.
  • Maintain the Legal & Risk Management Department's annual calendar.
  • Assist in project planning, intake, prioritization, and execution within the department.
  • Maintain corporate minute book and entity records, and develop presentations and training materials.
  • Keep the Vice President, General Counsel informed of time-sensitive and priority issues.

Requirements

  • High School Diploma or equivalent.
  • 5+ years of experience as an administrative assistant, preferably in a law firm or corporate legal department.
  • Ability to prioritize work based on changing company needs.
  • Highly organized with the ability to perform a wide variety of support duties.
  • Proficient in compiling, proofreading, and revising drafts of legal documents and reports.
  • Ability to gather and file documents electronically.
  • Experience in coordinating meetings, conference calls, and travel arrangements.
  • Ability to process sensitive and confidential information with judgment and tact.
  • Highly proficient with Microsoft Office Applications, including Word, Excel, and PowerPoint.

Nice-to-haves

  • Bachelor's degree in Business Administration, Administration of Justice, or a related field.
  • Paralegal or Legal Assistance certification.
