About the position

The Administrative Assistant/Legal Assistant role is a direct hire position at a small, respected law firm located in Downtown Chicago. The primary purpose of this role is to provide comprehensive administrative support to attorneys and manage the office environment effectively. The position requires a high level of organization, attention to detail, and proficiency in legal administrative tasks.

Responsibilities

  • Manage the physical office space by ordering supplies, keeping common areas organized, and welcoming guests.
  • Prepare legal documents, correspondence, and reports under attorney supervision.
  • Assist with legal research, document filing, and data management.
  • Coordinate client communications, handling inquiries and ensuring prompt responses via phone and email.
  • Organize and maintain both physical and electronic legal files, ensuring confidentiality and accuracy.
  • Handle incoming and outgoing mail, emails, and phone calls, prioritizing and responding appropriately.
  • Provide general administrative support, including photocopying, scanning, and faxing documents.
  • Perform additional tasks as needed to support attorneys and maintain smooth office operations.

Requirements

  • High school diploma required.
  • 1-3 years of experience in a legal office environment or a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
  • Excellent organizational skills with the ability to prioritize and manage time efficiently.
  • Strong written and verbal communication skills with keen attention to detail.

Nice-to-haves

  • E-filing experience is preferred but not required.
  • Familiarity with legal terminology, procedures, and document preparation is a plus.
