About the position

Join our dynamic legal department as an Administrative Assistant, providing top-tier administrative support and ensuring smooth office operations. This role is essential in maintaining the efficiency of the legal department, where you will be responsible for a variety of tasks that contribute to the overall success of the team. You will work onsite Monday through Thursday, with the flexibility to work from home on Fridays. Your organizational skills and self-motivation will be key in managing the diverse responsibilities that come with this position. As an Administrative Assistant, you will handle communication management, which includes managing incoming mail, calls, and visitor support. You will serve as the primary contact for the legal department, ensuring that all communications are handled promptly and professionally. Additionally, you will provide executive and senior support by managing requests and queries from senior management, as well as handling confidential electronic communications. Your role will also involve project and records management, where you will prioritize and manage multiple projects, maintain records, prepare expense reports, and arrange travel schedules. You will be responsible for drafting professional correspondence and ensuring that all documents are error-free. Organizing and filing corporate documents confidentially will also be part of your duties. Moreover, you will participate in special projects aimed at implementing operational improvements and work collaboratively with team members to support non-business activities, which may occasionally require evening and weekend work. Responsibilities

Requirements

  • Bachelor's degree (BS or BA) desirable with 2 years of administrative experience, or 5 years of relevant experience in lieu of a degree.
  • Strong computer skills, especially in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Strong knowledge of administrative and clerical procedures and systems.
  • File and records management experience.
  • Excellent customer service skills.
