About the position

The Administrative Assistant & Marketing Coordinator position at Independent Financial Services (IFS) is a full-time role focused on providing administrative support and coordinating marketing initiatives. The successful candidate will work closely with the Branch Manager to enhance client engagement through marketing campaigns and manage day-to-day office tasks, ensuring a smooth operational flow within the organization.

Responsibilities

  • Create and implement company marketing calendar.
  • Coordinate client events and seminars, including planning and logistics.
  • Post informative articles and update profiles on all company social media accounts.
  • Submit advertising correspondence for approval.
  • Greet clients and perform general administrative functions.
  • Maintain files, prepare paperwork, and run reports.
  • Answer incoming calls and distribute them to appropriate staff members.
  • Maintain the reception area and conference rooms in an orderly condition.
  • Process and distribute mail daily.
  • Maintain the RedTail CRM system database.

Requirements

  • Robust PC knowledge and typing skills.
  • Proficiency in Microsoft Office Suite.
  • Exceptional interpersonal and client service skills.
  • Ability to work independently in a small office environment.
  • Excellent oral and written communication skills.
  • Detail-oriented with superior organizational skills.

Nice-to-haves

  • Familiarity with working in a highly professional environment.
  • Knowledge of the financial industry is beneficial.
  • Minimum of High School Diploma, college preferred.
  • Experience with Contact Management.
