About the position

Colorado Springs Neurological Associates (CSNA) is seeking a dedicated and detail-oriented Administrative Assistant to support our Executive Admin Team. The successful candidate will play a vital role in ensuring smooth day-to-day operations, assisting with various administrative tasks, and supporting our leadership team. This position offers the opportunity to work in a dynamic healthcare environment, contributing to the success and efficiency of our multidisciplinary neuroscience practice. The Administrative Assistant will be responsible for scheduling and coordinating meetings, including arranging logistics, ordering food, and preparing meeting rooms. Additionally, the role involves taking detailed minutes during meetings and distributing them to relevant parties. In terms of office management, the Administrative Assistant will order and maintain inventory of office supplies and IT equipment, sort and distribute incoming mail, and work with building managers and vendors to address any facility-related issues. The position also includes financial support responsibilities, such as assisting the Controller with Accounts Payable processes and performing credit card reconciliations to ensure accuracy and timely submission. The Administrative Assistant will also manage the onboarding process for new hires, ensuring a smooth transition for new employees, and maintain and update the company's Indeed profile, including posting and removing job openings as needed. Furthermore, the role involves sourcing and coordinating with relevant managers to identify and recruit qualified candidates. To foster a positive work environment, the Administrative Assistant will assist in the orchestration and implementation of company morale initiatives.

Responsibilities

Requirements

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
