About the position

The Administrative Assistant/Medical Receptionist will provide essential administrative support in a fast-paced ophthalmology practice. This role involves greeting and registering patients, managing front office activities, and ensuring a high-quality patient experience. The ideal candidate will be bilingual in Spanish and English, possess strong customer service skills, and have experience in an administrative role, particularly in a medical setting.

Responsibilities

  • Welcome people as they enter the clinic.
  • Communicate anticipated wait times and/or delays.
  • Provide basic and accurate information in-person, via phone or by email.
  • Check-in patients (including verification of demographic and insurance information).
  • Complete patient registration from walk-in patients.
  • Collect all patient out of pocket responsibilities (i.e., deductibles, copays, co-insurance, etc.).
  • Schedule next appointment for patients at check out.
  • Assist as needed in obtaining missing/ additional information from patients.
  • Receive, sort, and distribute deliveries.
  • Answer incoming calls and perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Ensure reception area is tidy and presentable.
  • Maintain patient confidentiality.
  • Act with integrity in all ways and at all times, remaining honest, transparent, and respectful.
  • Keep the patient at the center of everything that you do.

Requirements

  • High school diploma
  • Bilingual Spanish and English required
  • 1-2 years' experience as a Receptionist/Front Office Clerk, medical office experience highly desired.
  • Hands-on experience with office equipment (e.g. Computers, phones, printers, etc.).
  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Ability to communicate courteously and effectively with the public and medical personnel.
  • Excellent organizational, multi-tasking, and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
