About the position

The Administrative Assistant at Central Coast Psychological Services (CCPS) plays a crucial role in ensuring the smooth operation of the front office in a mental health practice. This part-time position involves supporting clinicians and enhancing the patient experience through various administrative tasks, including intake, scheduling, and billing processes. The role is designed to maintain a welcoming and efficient environment for community members seeking mental health services.

Responsibilities

  • Greet clients and answer phones
  • Handle appointment scheduling and maintain the office calendar
  • Assist with client intake and paperwork management
  • Ensure timely and accurate data entry into our EMR system (TherapyNotes)
  • Support billing processes, insurance claims, and payment collection
  • Maintain office supplies and ensure the workspace is organized
  • Uphold confidentiality and HIPAA compliance

Requirements

  • High school diploma or equivalent required; Associate's Degree preferred
  • Additional administrative training or certification is a plus
  • 3+ years of previous administrative experience
  • Proficient in Mac and Google Suite software
  • Experience with EMRs like TherapyNotes is a bonus
  • Strong organizational and multitasking skills
  • Excellent ability to serve patients over the phone
  • Bilingual (English/Spanish)
  • Professionalism, reliability, and a client-focused approach
