About the position

The Administrative Assistant will support the Medical Service Support contract by performing various administrative tasks in different healthcare settings, including field health units and hospitals. This role involves logistical support, office coordination, data management, and communication with patients and staff, ensuring efficient operations and adherence to company standards.

Responsibilities

  • Perform routine logistical support tasks such as receiving material and routing it to a responsible party.
  • Coordinate and implement office services, interpreting and communicating operating policies.
  • Analyze health unit operating practices, including record keeping systems and office layout.
  • Locate and compile information, formatting reports, graphs, and tables.
  • Assemble and categorize facts and figures for written computation and calculations.
  • Use various software applications, such as spreadsheets, to manipulate and format data and reports.
  • Identify safety concerns and report them to supervisory personnel.
  • Review and respond to correspondence.
  • Coordinate the collection and preparation of operating reports, including time and attendance and budget expenditures.
  • Answer calls, schedule appointments, greet patients, and organize files.
  • Update and maintain patient charts.
  • Monitor radio and internet communication.
  • Assist in managing day-to-day activities and prioritizing tasks.
  • Attend and participate in meetings and task force groups to improve quality and outcomes.
  • Comply with all applicable Acuity standards and guidelines.
  • Prepare administrative correspondence and reports as required.
  • Perform other duties as assigned.

Requirements

  • Minimum of 3 years work experience in the administration field.
  • Some medical administration experience preferred.
  • Experience with unit operating practices, such as record keeping systems.
  • Ability to work independently and positively within a team environment.
  • Proficiency with computer and common office equipment, as well as MS Office products.
  • Ability to adapt to sudden changes and flexibility in work requirements.
  • Strong problem-solving skills to research and resolve inquiries in a timely manner.
  • Ability to work well with senior management and across functions to achieve business objectives.
  • Self-starter who is action-oriented and possesses a strong sense of urgency.
  • Must have a current U.S. passport.
  • Must have a U.S. Driver License.
  • Ability to obtain a U.S. Government Clearance.
