About the position

The Administrative Assistant position at St. Mark Village involves providing clerical support to the Directors, managing schedules, and ensuring smooth office operations. The role requires maintaining confidentiality, organizing files, and assisting with various administrative tasks while presenting a professional image. This is an on-call, full-time position with a focus on customer service and teamwork.

Responsibilities

  • Schedules appointments and provides information to callers.
  • Composes and types routine correspondence and e-mails, including meeting minutes.
  • Organizes and maintains the file system, filing correspondence and records.
  • Answers and screens telephone calls for the Director.
  • Sorts and delivers Resident's mail to the Nursing Station.
  • Coordinates the Director's schedule and makes appointments as needed.
  • Greets visitors and directs them to the appropriate area or person.
  • Prepares outgoing mail and correspondence, including e-mails and faxes.
  • Orders and maintains office supplies and arranges for equipment maintenance.
  • Assists in covering within the department during absences.
  • Manages records for Resident Trust Accounts and Petty Cash Funds.

Requirements

  • High school diploma or GED required.
  • Three to six months of related experience and/or training preferred.
  • Typing and computer skills are necessary, with emphasis on secretarial skills.

Nice-to-haves

  • Experience in a healthcare or assisted living environment.
  • Strong organizational skills and ability to multitask.
