About the position

The Administrative Assistant (AA) at Long Beach Transit provides essential administrative support to the Executive Director/Vice President of Organizational Development and Administration. This role involves managing departmental initiatives, strategies, and communications while collaborating with various functions such as Human Resources and Risk Management. The AA is part of a cross-departmental team aimed at enhancing organizational efficiency and communication.

Responsibilities

  • Organize and coordinate departmental meetings, including preparing agendas, room setup, and minute-taking.
  • Develop a framework to ensure results are identified, monitored, and reported on.
  • Prepare communication materials including reports, contracts, charts, and forms for reproduction and distribution, and proofread documents for spelling and grammar.
  • Develop creative, collaborative, and analytical presentations.
  • Ensure timely and accurate submission of documents and reports for Executive Leadership Team review.
  • Perform typing, printing, and binding for reports and other documents.
  • Oversee the offsite file storage and retrieval process for the HR department.
  • Develop and maintain good working relationships with LBT management and external agencies.
  • Process department purchase orders, credit card reconciliation, and invoices to ensure accurate information and timely payment.
  • Provide support to the Human Resources Project Manager.
  • Adhere to all safety regulations and report safety-related incidents.

Requirements

  • At least three years of increasingly responsible professional experience in a clerical role.
  • Experience in an executive or legal assistant position is a plus.
  • Any combination of education and experience equivalent to a bachelor's degree would be considered.
  • Bachelor's degree in business, human resources, labor relations, or other related field preferred.
  • Strong organizational and management skills.
  • Outstanding computer skills including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Project management skills necessary to plan and coordinate administrative matters.

Benefits

  • Salary range of $59,808 - $80,741 per year depending on experience.
