About the position

The Administrative Assistant (P-card) position is responsible for organizing and implementing administrative systems and procedures within the Department of Immunology. This role serves as the principal source of information for the unit, project, or program, and involves maintaining data, preparing reports, and ensuring smooth communication within the department. The assistant will support a Principal Investigator's lab, coordinating various administrative tasks to facilitate the daily operations of a laboratory with over 25 researchers.

Responsibilities

  • Organizes and implements administrative systems and procedures.
  • Serves as the principal source of information on unit, project, or program.
  • Gathers and maintains data for and assists in preparing reports using various computer software.
  • Prepares and maintains financial, personnel, administrative, and student records.
  • Ensures smooth day-to-day flow of communications within the department.
  • Composes, proofreads, edits, and prepares correspondence, reports, and other materials using word processing, spreadsheets, and databases.
  • Arranges for the use of facilities and plans meetings, conferences, and seminars.
  • Assists in the submission of grant proposals and progress reports.
  • Coordinates travel and meeting commitments for the Principal Investigator.
  • Maintains the PI's lab website and curriculum vitae (CV).
  • Prepares purchase orders, payment requests, and reimbursements for the department and lab.
  • Acts as a liaison with other Harvard departments and related programs or projects at other universities or government agencies.

Requirements

  • Prior office experience required.
  • Intermediate to advanced knowledge of email calendar, word processing, and spreadsheets.
  • Ability to work independently with minimal supervision.
  • Ability to handle complex and confidential information.
  • Competency using a variety of office computer software.

Nice-to-haves

  • Experience in grant proposal submissions and manuscript preparations.
  • Familiarity with IACUC and COMS protocols.
