About the position

The Administrative Assistant position is a part-time role within the Department of Student Wellness at Iowa State University. This position is responsible for providing essential administrative support to the Director and staff, ensuring smooth operations and fostering a supportive environment for students and staff. The ideal candidate will possess strong organizational and communication skills, and be proactive in problem-solving.

Responsibilities

  • Provide administrative support to the Department of Student Wellness and the Director by serving as a liaison to external contacts, scheduling meetings, and assisting with various tasks and projects.
  • Coordinate meetings, prepare agendas, correspondence, and meeting minutes.
  • Assist staff with scheduling spaces, creating travel itineraries, preparing for programs, booking reservations, and ordering supplies or equipment.
  • Manage Student Health and Wellness unit requests through Smartsheet, including presentations, programs, training, and resource requests.
  • Conduct moderately complex research, gather data, and prepare department summaries and reports.
  • Support staff by entering data into department recreation management software and/or website as needed.
  • Purchase office supplies and maintain supply inventory.
  • Assist the director in compiling and analyzing financial and operational reports.
  • Assist staff in completing expense verifications to meet University policies.
  • Ensure compliance with university policies and federal laws, including FERPA, HIPAA, and Title 42.

Requirements

  • High school diploma or equivalent.
  • 3 years of related experience.
  • Experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite and experience with data entry.
  • Experience with procurement, accounts receivable and payable.
  • Experience with inventory management.
  • Experience with travel and event management.
