About the position

The Administrative Assistant for Physician Services plays a crucial role in supporting the day-to-day operations of the Physician Services Office. This position involves scheduling appointments, organizing meetings, and providing clerical support to the Vice President and Finance Director, as well as assisting with projects and special meetings for the Physician Services team.

Responsibilities

  • Assists in managing and administration of contracts under direction of Vice President and Finance Director.
  • Helps coordinate events and meetings for physician leaders, administrative leaders and associated departments.
  • Assists in coordinating Physician Services Directors' calendars by scheduling/organizing meetings and appointments.
  • Answers Directors' office phones and provides information to callers or routes calls appropriately.
  • Provides clerical support to Directors, including assembling and distributing agendas and materials for meetings.
  • Attends, takes, and transcribes meeting minutes, providing follow-up and disseminating information as assigned.
  • Routinely researches, types, and assembles materials for reports and meetings.
  • Prepares other meeting agendas as needed.
  • Maintains the Physician Services Policy and Procedure Manual and assists with departmental manuals as needed.
  • Creates and maintains systems to support administrative functions as needed.
  • Composes and types routine correspondence, sends out memos and other announcements.
  • Makes copies of correspondence and other printed matter, files records and documents, and manages incoming mail.
  • Coordinates physician services contracts in tracking software.

Requirements

  • Certificate of completion from college or vocational school or 1-2 years relevant experience.
  • Valid Driver's License in good standing upon hire.
  • Accurate typing ability of 45-50 words per minute with familiarity of business machines.
  • Familiarity with Microsoft Excel and Word, Zoom/teleconference software.

Nice-to-haves

  • Strong skills in Microsoft Office programs, especially Word and Excel.
  • Ability to read, analyze, and interpret complex documents.
  • Experience in making effective presentations to management and public groups.
