About the position

The Administrative Assistant/Project Assistant role is designed to provide comprehensive support to the executive team and project management, ensuring efficient office operations and effective communication. The position involves managing correspondence, organizing files, and assisting with project documentation, contributing to the overall productivity of the office.

Responsibilities

  • Manage office correspondence, including screening emails, phone calls, and incoming mail.
  • Screen the President's emails and forward relevant messages accordingly.
  • Organize and maintain filing systems both electronically and physically.
  • Provide support to the Project Manager with completing project bid paperwork and maintaining job files on Microsoft Teams.
  • Send out certified payrolls for rated projects and box up end-of-year file folders for completed projects.
  • Keep the logbook updated with filed items by box number and contents.
  • Stay on track with all projects and ensure file folders are up to date.
  • Assist the Vice President and President with typing proposals and other miscellaneous tasks.
  • Support the Controller with tasks like running job cost transaction reports.
  • Maintain inventory of office supplies and place orders as necessary upon approval.
  • Collaborate with team members to ensure smooth office operations.

Requirements

  • 1 year of experience in an administrative or project assistant role.
  • Proficiency in Microsoft Teams and general office software.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.

Nice-to-haves

  • Experience with eBuilder and Sage 100 software.
