About the position

The Administrative Assistant for Public Works plays a crucial role in providing comprehensive administrative support to the Road & Bridge Department. This position involves overseeing office services, managing schedules, and ensuring efficient operations within the department. The role requires strong organizational skills and the ability to handle various administrative tasks while maintaining a focus on community service and employee well-being.

Responsibilities

  • Supervises training of new administrative personnel.
  • Supervises scheduling and prioritizing administrative workload as required.
  • Interfaces with the public.
  • Researches and makes copies for the public.
  • Maintains and organizes historical records.
  • Composes memos.
  • Ensures timely processing of time cards.
  • Maintains Road & Bridge Manager's calendar.
  • Assists in preparation of the annual department budget.
  • Transfers budget monies.
  • Creates and completes purchase orders.
  • Tracks hours of continuing education.
  • Responsible for bill paying.
  • Responsible for recording all Road & Bridge maintenance and project data (expenses, equipment, etc.).
  • Ensures all activity reports are being updated.
  • Assists Road and Bridge Manager in data gathering for maintenance and project-related activities.
  • Prepares document packages for grant-related projects for review.
  • Performs related duties as required.

Requirements

  • Must possess high school diploma or equivalent.
  • 4 years' experience in responsible administrative work.
  • Must possess a valid State of Florida Driver's License.
