About the position

The Quality Administrative Assistant plays a crucial role in supporting the Vice President of the Quality and Safety Division at Richmond University Medical Center. This part-time position involves managing various administrative tasks, maintaining personnel files, scheduling meetings, and ensuring effective communication within the Quality Department and with other departments. The assistant is responsible for preparing meeting materials, taking minutes, and assisting with regulatory inspections, all while fostering a collaborative work environment.

Responsibilities

  • Assist the Vice President of the Quality and Safety Division in overseeing all areas and functions of the Quality Department.
  • Maintain excellent relations with personnel from other departments for smooth information transfer and project completion.
  • Keep personnel files of departmental colleagues updated.
  • Compose, present, and take minutes for Board Quality Committee meetings and other meetings as needed.
  • Screen visitors to the Quality Department and the VP of Quality.
  • Schedule meetings for the VP of Quality and manage their appointment calendar.
  • Prepare notices, agendas, and minutes for departmental meetings.
  • Prepare Committee packets and present them at meetings alongside clinical/administrative presenters.
  • Order office supplies monthly and maintain staff personnel files for the Quality Department.
  • Accurately complete time cards and attendance records using electronic timekeeping software.
  • Assist sub-departments with day-to-day operations and long-term projects, including Health Equity and Patient Safety.
  • Make judgment calls independently and escalate issues to higher-ups when necessary.

Requirements

  • Bachelor's degree from an accredited higher-education institution.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with a diverse group of stakeholders.
  • Proficiency in Microsoft Office Suite and data analysis tools.
  • Familiarity with medical terminology.
  • Capability to multi-task and prioritize various functions for smooth office operations.
  • Shorthand or speed writing preferred.
  • Ability to function under high pressure.
  • Advanced long-form writing and reading comprehension skills.

Nice-to-haves

  • Experience with data analysis tools beyond Microsoft Office.
  • Previous experience in a healthcare setting.

Benefits

  • Competitive salary range of $40,000 - $45,000 per year.
  • Part-time work schedule with day shift hours (8am-4pm).
