About the position

The Administrative Assistant at Ascent Financial Partners plays a crucial role in supporting the daily operations of a financial advisory practice. This position focuses on providing exceptional client service and ensuring smooth business operations, allowing the team to concentrate on delivering financial advice and support to clients. The role involves a variety of administrative tasks, including scheduling, communication, and project management, with responsibilities evolving to meet the practice's needs.

Responsibilities

  • Provide administrative support by scheduling meetings and preparing presentations.
  • Prepare client communications and track new business correspondence.
  • Coordinate and track projects, managing business-as-usual tasks such as filing and handling office mail.
  • Answer multiple phone lines and direct callers to appropriate team members.
  • Track all incoming mail and follow firm compliance procedures.
  • Prepare correspondences to clients and scan documents to client files.
  • Deposit and code client checks into appropriate accounts.
  • Track financial planning fees and renewals, and follow up with the home office on related issues.
  • Schedule and prepare agendas and forms for client appointments.
  • Conduct client appointment reminder calls and check-in calls on follow-up items.
  • Maintain office atmosphere, including cleanliness and inventory of office supplies.
  • Assist others in the practice with various office projects as needed.
  • Greet clients and document client communications, extending hospitality.
  • Set up and maintain a client management system and track client special events.
  • Write notes or letters to clients and administer client appreciation tasks.

Requirements

  • High school degree required.
  • 1-2 years of experience with customer service preferred.
  • 1-2 years of experience providing administrative support, preferably in the finance industry.
  • Strong computer and phone skills, embracing technology for efficiency.
  • Effective communication skills with clients, advisors, and staff.
  • Efficient time management, organization, attention to detail, and multitasking skills.
  • Ability to adhere to rules and regulations as required by the team and Ameriprise Financial.
  • Ability to support and provide guidance for compliance.
  • Positive attitude and willingness to learn and collaborate.
