About the position

The Administrative Assistant/Receptionist at National Restoration plays a vital role in ensuring smooth administrative operations and providing a welcoming first impression for clients. This position involves a variety of clerical tasks, including managing phone calls, greeting clients, organizing files, and scheduling appointments, all aimed at maintaining a productive work environment.

Responsibilities

  • Greet clients, visitors, and vendors warmly, directing them appropriately.
  • Answer, screen, and direct phone calls and emails in a professional manner.
  • Manage appointment scheduling for clients and team members.
  • Assist with general administrative tasks, including filing, copying, scanning, and data entry.
  • Maintain office supplies inventory and keep the office organized.
  • Organize and maintain company files and records confidentially.
  • Serve as a point of contact for internal and external communication.
  • Input data into company databases or spreadsheets and generate reports.
  • Assist managers and executives with additional administrative tasks.

Requirements

  • High school diploma or equivalent; additional certifications in office administration are a plus.
  • Previous experience in a receptionist or administrative assistant role is preferred.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and basic office equipment.
