About the position

The Administrative Assistant/Receptionist role at our CPA firm is designed for a proactive and detail-oriented individual who will serve as the main point of contact for clients. This position is crucial for ensuring smooth workflow and high-quality service delivery to our small and medium-sized business clients. The ideal candidate will thrive in a routine-driven environment and possess strong organizational skills to manage various administrative tasks effectively.

Responsibilities

  • Work closely with professional staff to ensure clients receive high-quality service.
  • Establish client and firm coordination to ensure timely receipt of required information and payments.
  • Manage and improve processes and workflow of all services.
  • Drive the implementation and management of the computerized workflow management system.
  • Monitor workflow and report issues as they arise.
  • Maintain compliance with procedures and processes in associated systems.
  • Anticipate, monitor, and meet customer needs in an appropriate manner.
  • Perform other work-related duties as assigned by management.

Requirements

  • Minimum 3 years of experience in an accounting or CPA firm.
  • Excellent attention to detail and accuracy in work completion.
  • Strong organizational skills with the ability to multi-task and prioritize tasks.
  • Proven experience in a client-facing role with a passion for working with people.
  • Ability to critically analyze and interpret documents and situations efficiently.
  • Advanced skills with Microsoft Office Suite and adaptability to multiple software programs.
  • Proven computer skills, including data and workflow management knowledge.
  • Experience in paperless environments.
