About the position

The Administrative Assistant/Receptionist at Highland Springs Country Club is responsible for providing secretarial and administrative support to the General Manager and club staff. This role serves as the first point of contact for guests and members, requiring a courteous and respectful demeanor. The position involves a variety of tasks including managing communications, organizing office operations, and assisting with club events and member inquiries.

Responsibilities

  • Must be very organized and have extreme attention to detail.
  • Greets and screens visitors and calls for General Manager and department heads.
  • Answers the telephone; acts as a receptionist; assists with members' inquiries and provides information about membership, special functions, etc.
  • Provide backup and support for all other administrative staff as needed.
  • Performs general office tasks to assist the General Manager, Controller, and other department heads.
  • Serves as Secretary of the Highland Springs Community Association Board of Directors.
  • Attend all HOA, DRC and Annual Meetings taking minutes & transcribing them within 24 hours.
  • Takes reservations for club outlets and events.
  • Prepares and sends mailings of member charges, statements, club events and functions.
  • Processes mail daily and tracks meter levels on postage machine.
  • Maintains general correspondence between club and members.
  • Prepares and updates Highland Springs catered event schedule (function sheet).
  • Prepares daily bank deposit's listings.
  • Audits point-of-sale charges, making copies of house and reciprocal club tickets.
  • Purchases and inventories office supplies and forms; monitors office equipment maintenance contracts.
  • Inventories office supplies weekly - maintaining the minimum level of supplies needed and keeping tidy the office areas and back storage area as well as keeping the printers stocked and serviced.
  • Assists with proofreading of club newsletters and publications.
  • Distributes menus, invitations, announcements, signs and other materials.
  • Prepares and maintains an inventory of new employee packets, homeowner rosters and Community Association Welcome Packets.
  • Receives deliveries from Fed Ex, UPS and other delivery services.
  • Maintains 'lost and found' by tracking and safeguarding items.
  • Prepares and distributes gift certificates as requested by the General Manager, in cooperation with Accounting; reconciling the golf department and administrative gift certificates as requested.
  • Reports to work for scheduled shift, on time in accordance with company policy.
  • Knows and complies with all company policies and procedures pertaining to this position and its duties.

Requirements

  • Three years administrative support experience, preferably in a professional environment.
  • High school graduate or equivalent.
  • Associate's Degree or equivalent experience, preferred.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Ability to interact and communicate with individuals at all levels of the Company.
  • Ability to work as a team player.
  • Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint).
  • Compute and record numbers accurately; follow procedures for keeping accurate records; use eyes, hands, and fingers at the same time to enter figures in spreadsheets and forms, operate a calculator or personal computer.
  • Perform work that is routine and detailed.
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
