About the position

We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is crucial in providing exceptional customer support and ensuring the smooth operation of our office. The ideal candidate will possess strong clerical skills, be proficient in various office software, and have a friendly demeanor to create a welcoming environment for clients and vendors.

Responsibilities

  • Manage incoming calls, emails, and correspondence, ensuring timely responses.
  • Maintain and organize physical and digital files for easy access.
  • Utilize QuickBooks for basic accounting tasks and invoicing.
  • Proofread documents to ensure accuracy and professionalism.
  • Support administrative tasks such as managing calendars, and coordinating meetings.
  • Assist with data entry and maintain records using Microsoft Office applications.
  • Provide personal assistant support as needed to senior staff members.

Requirements

  • Proven experience in customer support or administrative roles is preferred.
  • Strong clerical skills with attention to detail.
  • Proficiency in QuickBooks, Excel and Google Suite applications.
  • Excellent proofreading skills to maintain high-quality documentation.
  • Strong computer literacy with the ability to learn new software quickly.
  • Ability to multitask effectively in a fast-paced environment while maintaining professionalism.

Nice-to-haves

  • Experience in construction administrative tasks (2 years preferred).
