About the position

The Administrative Assistant/Receptionist position at an entrepreneurial real estate and tax consulting firm in Newton, MA, involves providing comprehensive administrative support to the team. The role focuses on invoicing, financial record maintenance, and general office management, ensuring smooth operations within the office environment.

Responsibilities

  • Assist with the creation and processing of invoices for real estate development projects and consulting fees.
  • Collaborate with the team to ensure accurate and timely invoicing and collections.
  • Help maintain financial records and track expenses related to development projects.
  • Conduct research and analysis.
  • Manage Accounts Receivable and bookkeeping tasks.
  • Perform data entry and assist with other administrative tasks such as mail distribution and answering phone calls.
  • Order and maintain office supplies and assist with documentation preparation.
  • Manage file organization and travel arrangements for the CEO & President.
  • Act as the first point of contact for building and tenants.

Requirements

  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
  • Proficient in QuickBooks.
  • At least 5 years of administrative experience.
