About the position

The Weekend Administrative Assistant/Receptionist plays a crucial role in supporting the administrative functions of the organization. This position is focused on providing excellent customer service to residents and families while assisting in various clerical and administrative tasks. The ideal candidate will be team-oriented, driven, and eager to contribute to a positive workplace culture.

Responsibilities

  • Perform a variety of clerical and administrative duties to assist the assigned supervisor.
  • Coordinate work within the department and with other departments, responding to inquiries or requests for information.
  • Interact courteously and cooperatively while handling issues, complaints, inquiries, and questions.
  • Read correspondence and memos directed to administration, handling routine matters by writing or telephoning a response or redirecting to proper parties.
  • Prepare and develop confidential and routine correspondence, reports, forms, business documents, and special mailings.
  • Prepare, receive, and direct inter-office and U.S mail; prepare bulk mailings for distribution.
  • Organize, monitor, and maintain general administrative records and filing systems.
  • Provide customer service to residents and families as necessary.
  • Review and maintain time and attendance records for supervisor's approval prior to submitting to payroll.
  • Enter missed punches for staff and agency employees and reconcile hours daily.
  • Coordinate room setups and refreshments for meetings and conferences.
  • Provide innovative healthcare solutions by creating and implementing new ideas and concepts to improve systems and processes.

Requirements

  • High School Diploma or GED equivalent.
  • Prefer two (2) year college degree or equivalent with an emphasis in a business curriculum.
  • Strong business acumen and dedication to quality work.

Nice-to-haves

  • Experience in a healthcare or senior care environment.
  • Familiarity with MS Office and administrative software.
