About the position

The Administrative Assistant position at our residential general contracting firm is a vital role that supports the daily operations of our busy construction office. This position involves a mix of administrative tasks, bookkeeping, and light architectural design work, making it essential for the smooth functioning of our team.

Responsibilities

  • Answer phones and schedule appointments efficiently.
  • Drop off and pick up checks as needed.
  • Deliver materials to job sites.
  • Perform day-to-day bookkeeping tasks, including accounts payable and receivable.
  • Process and track invoices, payments, and expenses.
  • Maintain financial transaction records by establishing accounts and posting transactions.
  • Reconcile bank statements and other financial documents to ensure accuracy and resolve discrepancies.
  • Maintain confidentiality and security of financial data.
  • Create and modify architectural plans using Chief Architect software.
  • Develop detailed floor plans, elevations, and 3D renderings.

Requirements

  • Proven experience (3+ years) in an office environment.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong analytical skills and attention to detail; deadline-oriented with excellent time management.
  • Self-driven and able to work effectively within a team environment.
  • Data entry skills with the ability to type at least 35 wpm.
  • Basic knowledge of Chief Architect software.
  • Fluency in English; Spanish language skills are a plus.
  • Enrolled in or completed courses in architectural design preferred.
