About the position

Bowman Consulting Group is seeking an Administrative Assistant to support various teams including Learning, Human Resources, IT, Accounting, and Executive Administration. This role involves performing day-to-day administrative tasks, ensuring efficient operations, and acting as a liaison between departments and external stakeholders. Responsibilities

  • Perform work under moderate supervision and receive direction on moderately complex assignments.
  • Greet scheduled visitors and accompany them to the appropriate area or person.
  • Coordinate and arrange meetings, prepare agendas, and reserve facilities.
  • Communicate with internal and external clients on project-related matters.
  • Act as a liaison between workgroups and outside stakeholders such as suppliers and clients.
  • Administer all incoming phone calls and ensure proper redirection.
  • Compose and edit correspondence in Word and maintain spreadsheets in Excel.
  • Organize and maintain the file system, filing correspondence and other records.
  • Collect and research data using various company programs.
  • Prepare outgoing mail and correspondence, and serve as backup to receptionist as needed.
  • Assist with the timesheet and invoicing process for assigned departments, reviewing invoices for accuracy.
  • Perform administrative duties such as coding documents, copying, scanning, and data entry.
  • Manage conflicting priorities and organize workflow to accomplish tasks.
  • Research and prepare reports relating to departmental projects and activities.
  • Maintain office supplies inventory and place orders as needed.

Requirements

  • High School diploma or equivalent GED required.
  • Associates degree or 2 years of post-high school education preferred.
  • Three or more years of experience in an administrative role, including at least one year in the land development industry.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Basic understanding of clerical procedures and systems such as record keeping and filing.
