About the position

The Roper Center for Public Opinion Research at Cornell University is seeking a detail-oriented Administrative Assistant to provide essential support to the archive, membership, and IT development staff. This role is vital for the success of the Center's operations, involving a variety of tasks from financial administration to event coordination. The ideal candidate will thrive in a collaborative environment and contribute to the Center's mission of collecting and disseminating public opinion data.

Responsibilities

  • Process and oversee the Center's financial activities, including monitoring budgets and processing reimbursements.
  • Serve as the primary liaison for accounts payable and receivable, ensuring timely payments and resolving discrepancies.
  • Provide high-level administrative assistance to senior leadership, including coordinating schedules and logistics for board meetings and events.
  • Organize shipping and logistical arrangements for professional conferences.
  • Prepare reports, maintain records, and facilitate communications, including email correspondence and document formatting.
  • Support Salesforce workflows and update membership records to maintain member relationships.
  • Assist in planning and executing marketing strategies, including facilitating promotional items and supporting content proofing.
  • Coordinate the hiring process for student employees and conduct payroll approvals.

Requirements

  • Associate degree and two to four years of experience in a complex office setting as an Administrative Assistant or equivalent combination of education and experience.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and in a team environment.
  • Excellent communication skills, both written and verbal.
  • Demonstrated experience using sound judgment and problem-solving skills.
  • Strong computer skills and familiarity with Microsoft Office, Google Docs, Trello, Slack, and other similar programs.

Nice-to-haves

  • Experience with QuickBooks financial record keeping software.
  • Knowledge of Cornell University financial and human resource systems, policies, and procedures.
  • Experience working in an academic or research support environment.
  • Experience with Salesforce relationship-management software or ability to learn.
  • Experience in event management and logistics.
