About the position

The Administrative Assistant at the University of Miami School of Law provides essential support to faculty members and serves as the primary receptionist for the Law School Clinics. This role requires excellent organizational and communication skills, as well as the ability to manage multiple tasks efficiently. The assistant will handle confidential materials, coordinate communications between faculty and students, and support various administrative functions within the department.

Responsibilities

  • Support 10 to 14 full-time faculty members by exercising resourcefulness and independent judgment.
  • Serve as a liaison between faculty and students, answering inquiries and managing communications.
  • Monitor and order office and kitchen supplies as needed.
  • Make room reservations for students and faculty.
  • Provide administrative support to the First Start Program during the summer.
  • Assist with website updates and onboarding of student research assistants.
  • Process reimbursements for faculty travel and events via Workday.
  • Create reports and maintain records on student participation and assignments.
  • Prepare class materials and manage course files online via BLACKBOARD.
  • Coordinate with the Law Library for reference requests and create seating charts for classrooms.
  • Plan and coordinate materials for events such as workshops and symposiums.
  • Prepare correspondence and letters of recommendation for students.
  • Monitor and respond to faculty and student emails, and manage mail distribution.
  • Coordinate travel arrangements and prepare electronic reimbursements.

Requirements

  • High school diploma or GED.
  • 2 years of work-related experience.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Excellent customer service skills, both written and verbal.
  • Strong organizational skills and attention to detail.

Nice-to-haves

  • Experience with Blackboard or similar learning management systems.
  • Familiarity with Zoom meeting technology.
  • Knowledge of Workday for administrative tasks.
