About the position

The Administrative Assistant for the Science Department at Central Oregon Community College (COCC) plays a crucial role in providing high-level administrative and instructional support. This position coordinates information and workflow for the department, serving as the first point of contact for students, faculty, and the public. The role involves managing class schedules, faculty onboarding, and maintaining departmental records, ensuring smooth operations within the Science Department.

Responsibilities

  • Coordinate, enter, and proof annual and quarterly class schedules for the Science Department.
  • Collect and maintain an archive of class syllabi each term.
  • Onboard new faculty, including key requests and office assignments.
  • Order and maintain office supplies for the department workroom.
  • Manage copiers, printers, and mail-room services in the Science Building.
  • Submit campus service requests for building maintenance needs.
  • Update and maintain faculty and staff office signage and mailboxes.
  • Prepare and process confidential student evaluations for faculty evaluations.
  • Track and maintain faculty instructional loads and records of yearly totals and overloads.
  • Manage part-time and adjunct instructors' leaves and stipends.
  • Submit IT service requests for classroom and office hardware and software maintenance.
  • Support faculty with fiscal accounts payable forms and travel reimbursements.
  • Solicit and manage textbook orders for scheduled courses each quarter.
  • Maintain accurate fiscal records for the Science Office budget center.
  • Serve on college committees as appropriate.
  • Perform other essential functions that support the overall objective of the position.

Requirements

  • Associates Degree or completion of equivalent college-level coursework.
  • Two years of comprehensive office experience with skills in organization, budgeting, interpersonal communication, and computer-based technology.

Nice-to-haves

  • Bachelor's degree.
  • Knowledge of Banner and instructional support processes.
  • Work experience with community colleges, school districts, or public entities.
