About the position

The Administrative Assistant/Secretary will provide essential administrative support to ensure smooth operations within the team. This role involves managing schedules, maintaining client communications, and assisting with various clerical tasks, particularly in the real estate sector.

Responsibilities

  • Perform other clerical and administrative duties as assigned.
  • Research potential leads, gather contact information, and assist with outreach efforts.
  • Communicate with clients via phone, email, or messaging platforms and schedule follow-up calls and appointments.
  • Manage appointments, showings, and meetings for real estate professionals, coordinating with clients, agents, and vendors.
  • Prepare and organize real estate documents, such as contracts, listings, and disclosures.
  • Answer phone calls, respond to emails, and provide excellent customer service to clients and visitors.
  • Update and maintain property listings on various platforms (websites, MLS, etc.).
  • Keep office files organized, manage office supplies, and handle administrative tasks.
  • Assist with marketing efforts, including social media updates, flyers, and promotional materials.
  • Develop and maintain reports and spreadsheets using Excel to aid decision-making.
  • Assist with bookkeeping, invoicing, and budgeting tasks.
  • Play a crucial role in the recruitment process, from posting jobs to coordinating interviews.
  • Assist in employees' onboarding and offboarding processes.
  • Assist in managing employees' benefits.
  • Assist in daily timecard management.

Requirements

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience as an administrative assistant or a similar role.
  • Proficient in using office software such as Microsoft Word, Excel, and email.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Ability to handle confidential and sensitive information.
  • Bilingual (Spanish speaking, reading, and writing) a plus.
